How an order runs, from quote to your warehouse.
You deal with one EU company in Varna. We deal with the factory in Ningbo, the inspection, the freight and the customs. Below is every step, what you pay when, and how a stock agreement removes the lead time for repeat orders.

The deposit starts production. Custom colours are matched to your Pantone reference and approved by you before the run.

Our people check the production and are present at loading in Ningbo. You receive updates at both points.

Balance and delivery
When the goods are in Bulgaria you pay the 70 % balance. We clear customs and deliver DDP, or hand over at the terms you chose.
Documents
Pick the Incoterm that fits your buying department.
DDP is the simplest: one EU invoice, VAT handled, goods at your door. FOB is for buyers with their own forwarder.

Repeat orders without the 4-month wait.
For customers with a steady monthly usage we import ahead and hold the next lot in Bulgaria. You call it off; we ship the same week.
Example: you use 15,000 pieces a month, so 60,000 per four months. We order 120,000.
- Month 0
- You pay 30 % deposit on 120,000 pcs.
- Month 4
- Goods arrive in Bulgaria. You pay 70 % on the first 60,000 and receive them. The other 60,000 wait in our stock.
- Month 8
- You pay 70 % on the stocked 60,000 plus 30 % deposit on the next 120,000. Stock ships immediately; the next import starts.
- Then
- Every four months: one delivery from stock, one new import. Your lead time is one week.
Quantities and cycle are set per contract. The same configuration and colour build applies to the whole agreement.
What we check, and what you receive.
Two inspections are part of every order. The shipping documents arrive with the goods; declarations per item code on request.
Inspection 1
Colour against the approved reference, function (stroke, spray pattern, locking), closure fit, dip tube length, carton marking.
Inspection 2
Carton count against the packing list, pallet or floor loading, container condition and seal number.
What you receive
Proforma and commercial invoice, packing list, transport document copy. PPWR supplier declaration per item code, material and SVHC statements on request.
Questions
Can I get samples first?
Yes. Standard-colour samples of catalogue items are available; custom-colour samples are made with the colour approval. Ask in the quote request.
Can I change the order after the deposit?
No. Once the deposit is paid, we plan the production and start manufacturing the parts.
Who is my contract partner?
Vimex-M Trade House Bulgaria OOD, VAT BG205205858. The contract, the invoice and the warranty are with us, not with the factory.
